Privacy Policy
This policy explains what personal information King Agency LLC collects, why we collect it, who we share it with and how you can control it. We keep collection to the minimum our services need, and we do not sell personal information.
In short. We collect business contact details from people who ask about our services, account information from clients, and limited job information from our clients’ customers so appointments can be booked. We do not sell or rent personal information, we do not use it to train third-party AI models, we do not store payment card numbers, and we delete information on request.
01Who is responsible
King Agency LLC, Harrisonville, Missouri, United States, is responsible for the personal information described in this policy. Contact our privacy team at privacy@kingagencynetwork.com.
Where we build and operate a website, mobile application or AI assistant for a client, that client decides what happens to their own customers’ information. In that situation the client is the controller and we act as their service provider or processor, handling the information on their instructions and under a written agreement. Requests from a client’s customer are passed to the client, and we will help them respond.
02What we collect
| Category | Examples | Why |
|---|---|---|
| Enquiry and waitlist details | Name, work email, company name, trade, city and state, optional phone number, optional notes | To reply to you, assess fit, and contact you when a build slot opens |
| Client account details | Business name and address, contacts, login credentials in hashed form, service configuration, support correspondence | To deliver and support the services you bought |
| Billing records | Invoices, amounts, dates, payment status, billing contact, last four digits and card brand as reported by our processor | To take payment, keep accounts and meet tax obligations |
| End-customer job information | Name, contact details, service address, appointment time, description of the requested work, message history with the assistant | To let our clients’ customers book and track a service visit |
| Technical and usage data | IP address, browser and device type, pages viewed, referring page, timestamps, error logs | To keep the service secure and available, and to understand what is used |
What we deliberately do not collect
- Full payment card numbers. Card details go directly to our PCI-compliant payment processor and never reach our servers.
- Government identification numbers, including Social Security numbers.
- Health, biometric or genetic information.
- Precise background location tracking. Applications we build request an address for a service visit; they do not follow a device.
- Recordings or transcripts of telephone calls. The AI assistant works by text and chat only.
- Information about children. Our services are sold to businesses and are not directed at anyone under 18, and we do not knowingly collect children’s information. If you believe a child’s information reached us, email us and we will delete it.
03How we use information
- To respond to enquiries, run the waitlist and send proposals.
- To design, build, publish, host, support and maintain the websites and applications our clients buy.
- To operate the booking flow and the AI assistant so appointments can be scheduled and confirmed.
- To send service and transactional messages: confirmations, reminders, billing notices, security and maintenance notices.
- To take payment and keep required financial records.
- To secure our systems, prevent fraud and abuse, debug problems and monitor performance.
- To produce aggregated, de-identified statistics that cannot be linked to an individual, for reporting and product improvement.
- To send occasional marketing email to business contacts who asked to hear from us. Every marketing message has a one-click unsubscribe, and unsubscribing never affects a paid service.
- To comply with the law and to enforce our Terms of Service.
We do not use personal information for automated decisions that have a legal or similarly significant effect on anyone, and we do not build advertising profiles.
04Artificial intelligence and your data
Our platform uses AI models to draft replies to customer messages, answer routine questions and prepare bookings. We are deliberate about how data flows through that process:
- We do not use your information, or your customers’ information, to train foundation models operated by third parties.
- Where a request is processed by a third-party model provider, we use business or enterprise terms that prohibit the provider from training on our data, and we send only what the request needs.
- The assistant identifies itself as automated and offers a handoff to a person at any point.
- Message history is retained so a customer and a client can see the conversation, and it is deleted on the schedule in section 8 or earlier on request.
- A human at our client’s business remains responsible for the service that is delivered.
05Legal bases
Where the GDPR or UK GDPR applies, we rely on: performance of a contract, for delivering services we agreed to provide; legitimate interests, for securing our systems, improving our services and contacting business prospects who fit our services; consent, for optional marketing messages and non-essential analytics, which you can withdraw at any time; and legal obligation, for tax, accounting and lawful requests.
06Sharing and service providers
We do not sell or rent personal information, and we do not share it for cross-context behavioural advertising. We share it only with the categories of recipient below, under contracts that limit them to processing it on our instructions:
- Hosting and infrastructure providers located in the United States, which store and serve the platform.
- Communication providers that deliver email, text messages and push notifications.
- AI model providers under terms that prohibit training on our data.
- Payment processors and our accountants, for billing, bookkeeping and tax filing.
- App stores, where publishing your application requires it.
- Professional advisers, where confidential advice is needed.
- Authorities, where the law requires disclosure or where it is necessary to protect our rights or someone’s safety.
- An acquirer, if our business is merged or sold, subject to this policy continuing to apply. We would notify affected clients.
A current list of the providers we use is available on request from privacy@kingagencynetwork.com.
07Cookies and analytics
This website uses one strictly necessary cookie to maintain your session and protect the waitlist form against cross-site request forgery. It carries no advertising identifier.
We keep standard server logs, which include IP addresses, for security and troubleshooting. If we add product analytics we will use a privacy-respecting configuration with IP truncation, we will list it here first, and we will ask for consent where consent is required. We do not run third-party advertising or social media tracking pixels on this site. We honour Global Privacy Control signals sent by your browser.
08How long we keep information
- Waitlist and enquiry records: up to 24 months from your last contact with us, then deleted.
- Client account and configuration data: for the life of the agreement, then 30 days for export, then deleted.
- End-customer job records: as instructed by the client, by default 24 months after the job is completed.
- Billing and tax records: seven years, as United States tax rules require.
- Security logs: up to 12 months.
Backups are overwritten on a rolling schedule, so deleted records can persist in an encrypted backup for a short period before they are cycled out.
09Security
We protect information with encryption in transit using TLS, encryption at rest for databases and backups, role-based access limited to staff who need it, unique credentials with multi-factor authentication on administrative systems, hashed passwords, least-privilege API keys, logging of administrative access and regular patching. Our staff and subcontractors are bound by confidentiality obligations.
No system is perfectly secure. If a breach affects your personal information, we will notify you and any regulator without undue delay and within the timeframes the applicable law requires, and we will tell you what happened and what we are doing about it.
10Your rights and choices
Depending on where you live, you may have the right to know what we hold, to get a copy, to correct it, to delete it, to limit or object to certain uses, to withdraw consent, and not to be discriminated against for exercising these rights. Residents of California, Colorado, Connecticut, Virginia and other states with comparable laws have these rights under those laws; residents of the EEA, the UK and Switzerland have them under the GDPR and may also complain to their supervisory authority.
Because we do not sell personal information or share it for cross-context behavioural advertising, there is nothing to opt out of in that respect.
How to make a request
Email privacy@kingagencynetwork.com with the request and enough detail to find your records. We reply within 45 days, and we will tell you if we need a short extension. We verify requests by matching the details we already hold, or by confirming control of the email address on the account, and we do not charge for a reasonable request. An authorised agent may act for you with written proof.
If your information is held on behalf of one of our clients, we will forward your request to that client and support their response.
11International transfers
We operate from the United States and our infrastructure is located there, so information you send us is processed in the United States. If you contact us from outside the United States and the GDPR or UK GDPR applies to that transfer, we use the European Commission’s Standard Contractual Clauses, or the UK Addendum, together with appropriate technical safeguards.
12Changes to this policy
We will post any update here with a new date and version number. If a change materially affects how we handle information we already hold, we will notify active clients and affected contacts by email at least 30 days before it takes effect.
